Amgen Admin Coordinator in Tampa, Florida

Amgen is seeking an administrative professional to join ‘Enterprise Engineering and Analytics’ as an administrative coordinator in Tampa. The role of the Administrative Coordinator (AC) will be focused on supporting the IT Director of Data & Analytics in Tampa, and others within the department.

This role requires a motivated and high-performing individual to help drive and support key initiatives and perform a variety of complex administrative support activities. Work assignments are a mixture of routine and non-routine activities such as: assisting with report generation as requested; facilitating the tracking of deliverables and timelines as directed; handling the coordination of meeting logistics, minutes and other duties as assigned.

Key responsibilities include:

  • Proactively manage multiple calendars

  • Schedule both complex and routine meetings, collaborate and navigate time management challenges successfully with colleagues

  • Make travel arrangements utilizing company guidelines, and manage expense reports

  • Organize meeting rooms, logistics, catering, and needed equipment/supplies for events

  • Assist with preparation of presentations, meeting agendas, and capturing action items

  • Skillful point of contact and provide assistance for Directors, their direct reports, and department members

  • Collaborate and liaise successfully with other ACs within the organization

  • Arrange for visitors and process interview candidates

  • Timely registration for conferences, congresses, and seminars

  • Assist with special projects

  • Perform other administrative duties as requested

  • Provide reliable backup support to additional departmental admins

Basic Qualifications

Associates’ degree and 2 years of Administrative experience

OR

High school diploma/GED & 4 years of Administrative experience

Preferred Qualifications

  • Bachelor’s degree

  • 5+ years of experience in an administrative role supporting large teams at various levels – preferably in biopharma industry

  • Handling multiple calendars including coordination across multiple time zones

  • Excellent written, verbal, and presentation skills in communicating key business and clinical information

  • Experience providing administrative support to remote staff

  • Helpful, can-do attitude with a solution-oriented approach

  • Excellent organizational skills and ability to work with multiple team members – both internal and external

  • Excellent travel and meeting planning skills

  • Good external customer communication skills

  • Strong Outlook, Excel, PowerPoint Skills

  • Excellent Time Management skills

  • Ability to prioritize projects of greater urgency and importance

  • Excellent Project management skills, with ability to follow through on tasks until completion

  • Flexible, resourceful, polite, and personable ‘team player’

  • Ability to work in a fast-paced environment

  • Works independently employing good judgment, discretion, and critical decision making
