Amgen Administrative Coordinator in South San Francisco, California

The Administrative Coordinator (AC) will be primarily responsible for complex administrative support activities, supporting a Vice President, Executive Directors, Directors and other staff.

The role of the Administrative Coordinator is to perform a variety of complex administrative activities; to assist in report generation as requested; to facilitate tracking of deliverables and timelines as directed; and to manage the coordination of meeting logistics, minutes, travel and other duties as assigned.

This position is located in South San Francisco and will support the CardioMetabolic Disorders Therapeutic Area in Discovery Research.

Key responsibilities include:

  • Managing calendars and scheduling meetings for individuals and teams

  • Provides meeting support for cross-functional teams, including agenda preparation, collection/distribution of pre-reads, and meeting start-up as appropriate

  • Making travel arrangements & preparing expense reports as requested

  • Coordinate visitor arrangements: arrange travel, meeting arrangements, visitor accommodations, complete expense reports

  • Managing departmental administrative files

  • Maintaining distribution, contact and personnel lists

  • Managing the administrative aspects of relationships with outside experts and vendors

  • Provide backup support to additional department ACs

  • Organizing meeting rooms, including logistics, catering and equipment needs

  • Assisting with special projects as requested by the Directors and others within group

  • Independently responds to routine correspondence

  • Schedules and coordinates candidate interviews

  • Assists with onboarding new staff

Obtains office space, equipment and supplies for new staff members and helps sets up offices prior to start date

  • Organizes departmental events and meetings including logistics, catering, supplies and equipment needs

  • Submit IS Help Desk work orders, as needed

  • Coordinates and manages documents in EDM Teams and SharePoint

  • Creates efficient and user-friendly templates for procedures and reports

  • Identifies process-improvement opportunities

  • Makes decisions based on knowledge of staff needs and available resources

  • Uses the latest technology to solve business problems

Basic Qualifications

Associate's degree & 2 years of Administrative experience


High school diploma/GED & 4 years of Administrative experience

Preferred Qualifications

*Bachelor's degree

*Proactive, organized, and highly effective communicator (interpersonal, verbal, written)

*Experience working in biopharma industry

*5+ years of experience in an administrative support role supporting large teams at different levels

*Managing multiple calendars including coordination across multiple time zones

*Ability to understand the research roles at a high level

*Advanced knowledge of MS Outlook, Excel, PowerPoint, and Word (i.e. word processing, presentations, and spreadsheet skills) as well as Concur, Sharepoint and Box

*Ability to multitask, and understand prioritization.

*Experience providing administrative support to remote staff

*Outstanding organizational and interpersonal skills

*Ability to work in a fast-paced, deadline-driven environment

*Discretion in dealing with proprietary information
