Amgen Strategic Planning Assistant in Shanghai, China

  • Ensures timely coordination of department members' administrative needs:

o Manages multiple and/or or complex team calendars (Outlook)

o Coordinates local and international travel, meeting arrangements, visitor accommodations, and processes expense reports for department travelers

o Organizes meeting rooms, including logistics, catering and equipment needs

o Prepares agendas, takes and completes committee meeting minutes; coordinates distribution and follows up on action items

o Prepare and process forms, documents and correspondence; anticipates, revises and sends correspondence

  • Serves as a contact for department and coordinates ongoing processes for the team:

o Screens and acts on incoming phone calls;

o Manages department operations: filing, databases, office and lab supply orders, etc.

o Coordinates functional processes such as invoicing and payments

o Manages the administrative aspects of relationships with outside vendors, speakers and candidates

o Participates in department project teams

  • Assist with special projects as requested by supervisor

  • Maintains distribution, contact and personnel lists

  • Coordinates mailings and courier/deliveries

  • Provides back-up support to other functional administrative staff, as needed


  • Communicates details clearly and accurately; both orally and in writing

  • Modifies communication style as appropriate for the audience; may regularly interact with clients and executives

  • Identifies and balances multiple priorities and the needs of multiple teams

  • Organize and expedite workflow through department so as to comply with deadlines and priorities

  • Knowledge of virtual communication (WebEx, telecom, WebCast) in order to reduce meeting costs

  • Takes a proactive approach to identifying breakdowns in service, information flow and process; resolves issues appropriately

  • Demonstrates a service-oriented approach to all activities
