Administrative Coordinator Fixed Term (1-Year)
Ensures timely coordination of department members’ administrative needs:
Manages multiple and/or or complex team calendars (Outlook)
Coordinates local and international travel, meeting arrangements, visitor accommodations, and processes expense reports for department travelers.
Organizes meeting rooms, including logistics, catering and equipment needs.
Prepare and process forms, documents, and correspondence; anticipates, revises, and sends correspondence.
Serves as a contact for department and coordinates ongoing processes for the team.
Manages department operations: filing, databases, office and supply orders, etc.
Coordinates functional processes such as invoicing and payments.
Manages the administrative aspects of relationships with outside vendors.
Participates in department project teams.
Assist with special projects as requested by supervisor.
Coordinates mailings and courier/deliveries
Provides back-up support to other functional administrative staff, as needed.
Competencies:
Communicates details clearly and accurately, both orally and in writing
Identifies and balances multiple priorities and the needs of multiple teams.
Organize and expedite workflow through department so as to comply with deadlines and priorities.
Knowledge of virtual communication (WebEx, Microsoft Teams, and SAP)
Takes a proactive approach to identifying breakdowns in service, information flow and process; resolves issues appropriately.
Demonstrates a service-oriented approach to all activities.
Demonstrates a willingness to learn new approaches and to adapt to change.
Leads by example in promoting teamwork.
Basic Qualifications:
Associate’s degree & 2 years of directly related experience
OR
High school diploma / GED & 4 years of directly related experience.
Preferred Qualifications:
2 years administrative support preferably with biopharmaceutical industry experience
Extensive use of MS Office and databases
Databases and tracking tools.
Advanced computer system operational skills
Managing multiple calendars including coordination across multiple time zones
Experience in similar or related discipline
