Amgen Front-Desk and Business Unit Assistant in Bucharest, Romania
The purpose of this role is to offer admin support to Office Coordinator & Business Unit Manager by anticipating, identifying, and meeting the team's needs with a proactive, organized, and problem-solving approach.
The successful candidate will act as Front-Desk and Business Unit Assistant.
Responsibilities as Front-Desk Assistant:
Greet visitors by welcoming, and directing them appropriately
Receive incoming couriers, sign for reception and inform receivers to pick up their mail
Maintain security by following procedures, monitoring logbook, and issuing visitor badges
Offer support in office management (meeting room, cafeteria, facilities, etc.)
Offer support in office operations: orders necessary supplies (stationaries, coffee & beverages, etc.), register and follow-up on solving facility related incidents, etc.
Create Purchase Orders for office facilities and other related General Admin issues
Register and archive company related documents (notifications, contracts, certificates)
Keep evidence of department’s documents using an internal tool
Offer support in organizing internal and external events to create a good experience for colleagues and visitors
Admin Support for Business Unit Manager:
Prepare and administrate the contracts and relationships with the suppliers relevant for Business Unit;
Organize and implement new flows and processes;
Initiate and administrate purchase orders in Ariba system;
Tracks invoice and check payments in SAP;
Organize internal events in C3 system for the Business Unit’s team and acts as the point of contact for the agency in organizing events and submitting the requests in Cvent system;
Follow a methodical approach in finalizing all tasks received from stakeholders;
Participate in team meetings, take notes, prepare the minute and follow-up on agreed action points;
Maintain discretion and confidentiality on the data and documents processed.
Requirements:
Bachelor degree in business administration or similar;
1-2 years of experience in a similar department of a multinational company (pharma industry preferred);
Demonstrated capability to learn systems and processes quickly, being open and flexible to changes, in a multinational environment;
High level of English, both in oral and written communication;
Good computer skills in the Microsoft Office environment.

Ability to adapt his/her communication style depending on the audience - can interact with internal and external stakeholders on a regular basis;
Ability to identify and prioritize the needs of different teams;
A proactive approach in identifying the inaccuracies that might appear in the processes and information flow - can solve any issues that might appear in an ethic and responsible way;
Reliability to get things done in due time, willingness to find solutions and make things happen;
Ability to manage different tasks, priorities, and deadlines;
Desire to learn how to manage new processes and systems as well as capacity to quickly adapt to changes;
Take initiative, seeing in advance things that need to be done and actively looking for ways to obtain better results.
