Amgen CW-Admin Coordinator in Bucharest, Romania

Responsibilities:

Admin assistance for different departments :

  • Schedule meetings and activities, manage calendars

  • Manage department operations: filing, develop databases, track budgets, contracts, etc.

  • Manage the administrative aspects of relationships with outside vendors

  • Manage department financial operation: POs, SAP payments

  • Participate in department project teams

  • Prepare international and domestic travel arrangements; including: booking flights, accommodation, car service

  • Organize and prepare the necessary set of documents for the medical activities according to compliance guidance and Company SOPs; Invoice processing;

  • Management of different tools and services related to department's activity (periodical data reporting in different systems, usage of Amgen's different tools, etc.)

Other administrative responsibilities:

  • Back-up for reception, as necessary

  • May provide training, guidance and orientation to new team members

  • Prepare agendas, take and complete committee meeting minutes; coordinate distribution and follow up on action items

  • Independently respond to routine correspondence, determine best approach and presentation when preparing and formatting correspondence, memorandum, reports and presentations

Requirements:

  • University Diploma

  • Minimum 3 to 5 years related experience in administrative support role

  • Communicates details clearly and accurately, both orally and in writing

  • Modifies communication style as appropriate for the audience; may regularly interact with clients and executives

  • Identifies and balances multiple priorities and the needs of multiple teams

  • Takes a proactive approach to identifying breakdowns in service, information flow and process; resolves issues appropriately

  • Demonstrates a service-oriented approach to all activities

  • Demonstrates a willingness to learn new approaches and to adapt to change

  • Experience using MS Office tools

  • Fluency in English

Preferred Requirements:

  • Experience in similar or related disciplinary and/or international environment
